Frequently asked questions

How do I size the staff I need?

Headcount = weekly task volume ÷ (productive hours per staff per week × utilisation rate). Divide by effective per-head capacity — the per-week workload the team needs to cover with a real utilisation rate on top.

Staff Headcount Capacity

What is productive hours per week per staff?

Around 30 useful hours per week for a full-time role after meetings, breaks and admin — call it 30–35 in your planning. Lower for meetings-heavy or admin-heavy roles; higher for low-context or production roles.

Staff Headcount Capacity

Why is utilisation not 100%?

No team can run at 100% sustainable capacity — context, breaks, paid time off, training and edge cases absorb real bandwidth. Plan at 70–85% utilisation; reserve +15% slack for unknown work.

Staff Headcount Capacity

What about part-time or fractional staff?

Account for the available weekly capacity — a part-time at 0.5 FTE delivers 0.5× the headcount capacity. Run the same model; the per-head number stays the same; the FTE count is the multiplier.
